How the desk works
The same four stages every month. Here's who does what, and when we'll need you.
First, the editorial review
A free 30-minute call. Beforehand we read your site and run our own sitemap scanner on it, so the call starts with something specific. Afterwards you get a short written note: where we'd start, and whether that's a plan or a one-off item. If it's a one-off, the note says so.
Month 1: the map
You fill in a kickoff questionnaire and give us access. Within 8 business days you have a topic map and a 90-day calendar. You approve the calendar, or change it, and your month-1 slots go on the first pieces in it.
Publishing
Each piece follows the same path. We send a brief; you approve it. We write, edit and check it; you review it, with two revision rounds. Then we upload it, link it and log it.
Keeping old pages alive
Every month the decay watch compares your sitemap and Search Console against the month before. Pages that are slipping get proposed for a refresh or a merge, and go into next month's calendar only if you agree. Nothing gets retired without your say-so.
The monthly change log
One line for every URL we touched: what changed, when, and why. Next to it, a Search Console summary or, on Cadence 8 and 14, your dashboard. Then a call to plan the next 30 days: monthly on Cadence 4, every two weeks on Cadence 8, weekly on Cadence 14.
Access, not passwords
We ask for an editor role in your CMS and viewer access to Search Console. Never a password. Everything stays in your name, and you can remove us in a couple of clicks.
How much of your time
Plan on about an hour of review for each new piece and half an hour for each refresh or merge. If that's more than your team has, publish less. A queue of unapproved drafts helps nobody.
Work out your review load in the cadence plannerWritten first, wherever you are
Briefs, the calendar and the change log are shared documents, and walkthroughs come as recorded video, so very little needs a live call. We reply within one business day, Monday to Friday, 9 a.m.–6 p.m. ET. US or UK spelling is a setting in the brief. Prices are in USD.
How we use AI
AI tools may help with research and outlines. Every piece is written or rewritten, edited and fact-checked by a person. We don't mass-generate pages, and we don't invent statistics or quotes.
If you leave
After the first 3 months, give 30 days' written notice. Everything is already yours: the content, the map, the calendar, the change log, the dashboard. We hand over anything still in progress and remove our access.
